Redacting a bank statement for the landlord: What must remain visible?

When applying for an apartment, payslips, proof of creditworthiness or even bank statements are frequently demanded. A complete bank statement, however, reveals far more than financial capacity: doctor's visits, donations, memberships and private contacts can be inferred from individual postings. Prospective tenants should therefore disclose only the data that is actually necessary for the respective step.

Is a landlord allowed to require bank statements?

Landlords may check the financial capacity of a serious prospective tenant. This does not mean, however, that a complete overview of all account activity is necessary. In its 2026 guidance (Orientierungshilfe), the German Data Protection Conference clearly distinguishes according to the phase of the rental process.

Before a viewing, extensive information about the financial situation is in principle not necessary. After the viewing, if there is concrete interest in renting, specific information about ability to pay may be requested. According to the guidance of the Berlin Data Protection Commissioner, evidence such as proof of income or credit reports is intended only immediately before conclusion of the tenancy agreement.

Which alternative is better than a bank statement?

For proving regular income, a payslip is usually more targeted than a complete bank statement. Here too, details that are not necessary can be redacted. Depending on the situation, a pension notice, benefit notice, tax assessment notice or a suitable credit report may also be considered.

If a bank statement is used exceptionally, it should be reduced to the purpose: proof of a specific incoming payment or of a sufficient account balance — not disclosure of one's entire private life.

What can be redacted on the bank statement?

Which details are necessary depends on the specific proof required. Typically not necessary are other postings, payment references, names of private payment partners and account details of third parties. Your own name, the relevant period and precisely the information to be evidenced should remain visible.

If a blanket demand is made, ask about the specific purpose. This often makes it possible to agree on a more data-economical form of proof.

How to create a secure copy
